Dear Members, following Government announcements over the weekend, as of this afternoon, Monday 21st December, VGC will transition to the use of a QR code for member check in/out at the Club. We have been directed to take this action after contract tracing of patrons at the Glen Hotel last week found a number of illegible records (where patrons manually completed their own details) which has caused serious and as yet unresolved problems in contract tracing efforts.

These QR codes, unique to VGC, will be displayed at all entrance points of the Club. Members are asked to simply scan the QR codes when entering the Club, which will bring up a prompt to record your contact details. Attendance times will be automatically logged. This contact information will only be required to be entered once and when you scan on subsequent visits to the Club, the contact information will be pre-filled only requiring edit if contact details have changed. Could we ask that you please show a member of staff of your entered contact details after scanning in for the 1st time.

Upon leaving the Club, members should scan the code again and simply tap checkout when prompted to maintain the accuracy of the attendance time at the club. If members do not check out, as per earlier advice from the Chief Health Officer, members will be deemed to be at the club until close for contract tracing purposes.

All collected data will be securely stored and is not accessible to any party outside of VGC. All collected data will be kept for 56 days in accordance with Government regulations and will be discarded at the end of this period. The data collected will NOT be used for any other purpose other than to maintain compliance with Covid regulatory requirements.

As required, members who wish to, can still ask to have their attendance information collected manually but the default position is that as far as possible, we have been directed to move to an automated QR code attendance process.

Tony.
